By Matt Brennan • What the RFI? Episode 4
A remote project can create valuable opportunities and a demanding travel schedule. Episode 4 looks at the practical reality of Construction Administration travel, from relationship building to the time spent getting to and from the site.

Lessons from Episode 4
Count the whole commitment
The site meeting may take a few hours, while the journey takes much longer. Consider preparation, travel, field work, reporting and follow-up when planning a visit. Remote access and seasonal conditions can also affect the schedule.
Discuss the expected frequency and purpose of visits early. A realistic plan helps the firm staff the project and gives the owner a clearer understanding of the service being provided.
Make each visit useful
Review drawings, open RFIs, submittals and previous meeting actions before travelling. Coordinate with the contractor and consultants so the right people and work are available when you arrive.
Keep current information accessible on the road. After the visit, issue the agreed record and identify outstanding decisions. Travel only creates value when the observations and conversations lead to useful project action.
Budget and sustain the routine
Flights, accommodation, vehicles and meals can form a significant part of the project’s travel cost. Confirm what the agreement covers and follow your firm’s expense and booking policies. Compare options using the actual route and schedule.
Matt also discusses the personal side of repeated travel: time away from family, fatigue and maintaining routines. Consider that commitment when accepting a role or planning team coverage. The right arrangement depends on the project and the people delivering it.
Your next step
Plan preparation, travel and follow-up time.
Confirm who needs to attend and what can be observed.
Check the project’s travel budget and firm policies.
Review whether the routine remains workable over the project.
