How to Review Shop Drawings Without Losing the Bigger Picture — What the RFI? Episode 6

Lessons from Episode 6

Review against the project requirements

Start with the relevant drawings and specification sections. Confirm what the contractor has submitted and whether the package includes the information needed for review. Identify proposed deviations so they are not mistaken for the specified solution.

Keep the review within the responsibilities established by the contract. The contractor’s coordination and verification duties remain important. A consultant review should not quietly become a redesign of incomplete trade information.

Make comments clear and coordinated

Explain the requirement or the issue that needs a response. Coordinate comments with other consultants where the same equipment or assembly affects several disciplines. Inconsistent reviews can leave the contractor uncertain about which direction to follow.

Samples and mockups can clarify appearance and installation expectations that are difficult to communicate on paper. Record the selection or review outcome and connect it to the relevant submittal.

Treat the log as a planning tool

Track receipt, reviewer, return date, status and any resubmission. Work to the review periods established for the project. Long-lead products need enough time for review, correction, manufacture and delivery.

Matt emphasizes mentorship and early identification of missing submittals. Use the schedule to discuss upcoming needs with the contractor. A package marked for revision still needs follow-up; returning it does not mean the item is finished.

Your next step

  • Read the drawings and specification first.

  • Confirm completeness and identify deviations.

  • Coordinate the review and return clear comments.

  • Track resubmissions and procurement-sensitive dates.
